Ontario Court Transcripts: FAQ Frequently Asked Questions
How to order an Ontario court transcript
- Fill in our online order form. Add as much detail about the proceeding as you can. If the court has sent you any correspondence by mail or email, it will most likely contain the details needed. As an alternative you can contact the court where the appearance was conducted. For a list of contact details for each court see: ontario.ca/locations/courts.
- Our ACT team checks the details and requests the recording from the specific court. Courts will only release recordings to an Authorised Court Transcriptionist (ACT), so we handle this end of the process for you (see regulations: Ontario.ca, Ordering a court transcript).
- Our ACT team transcribes the recording and certifies the transcript. Every transcript is prepared and certified by an Authorised Court Transcriptionist (ACT) as a true and accurate record of the proceeding. Only transcripts certified by an ACT can be presented in court (see regulations: Ministry of the Attorney General, Court Transcripts).
- Once complete, we email you the invoice and a Microsoft Word copy of the certified transcript. If you ordered as an individual rather than as an organisation or business, we require payment in full before the transcript is released. Payment is by bank to bank Interac e-Transfer or by credit card online. Payment information will be on the invoice.
How to pay for an ACT court transcript
Payment information will be on the invocie we send to you once we produce the transcript. Accepted payment methods include Interac e-Transfer (bank to bank) and online credit card.
Payment terms depend on whether the order is placed under a registered Canadian business or Organisation or the order is a personal order.
Business / Organisational Order. If you order from a registered Canadian business email, we treat it as a standard business to business transaction and email you an invoice once the project is complete. Payment is due 14 days after the project is completed.
Personal order. We will email an invoice once complete, but require full payment before delivery. As with the business transaction, each order is completed by an Authorised Court Transcriptionist and backed by our 100 by 100 guarantee on both timeline and accuracy.
What does an Ontario court transcript cost?
Transcript fees in Ontario are set by regulation, not by the transcriptionist. The current fees were introduced by Ontario Regulation 145/22, which amended Ontario Regulation 94/14, Fees for Court Transcripts (see: https://www.canlii.org/en/on/laws/regu/o-reg-94-14/latest/o-reg-94-14.html), and have been in force since 1 April 2022 (see: https://www.canadianlawyermag.com/news/general/fees-rising-as-new-court-transcript-model-takes-hold/272590).
Note: Fees greater of $25 (a minimum invoice floor) or the per page rate multiplied by the page count.
Certified electronic transcript, first copy
- Within 24 hours, the greater of $25 or $11.75 per page.
- Within 5 business days (standard), the greater of $25 or $8.80 per page.
Certified paper transcript, first copy
- Within 24 hours, the greater of $25 or $12.55 per page.
- Within 5 business days (standard), the greater of $25 or $9.60 per page.
Subsequent and shared copies
- A subsequent certified electronic copy of an already typed transcript, the greater of $25 or 80 cents per page (paper format).
- An electronic copy of an already typed transcript ordered separately, $25 flat.
- Multiple parties may share a single electronic transcript at no extra cost (Ontario Regulatory Registry, posting 40048).
Appeal transcripts
When a transcript is required for an appeal, per page fees apply only to newly transcribed pages. The title page and table of contents are treated as newly transcribed and billed at the per page rate (O. Reg. 94/14, s. 1(2) see: https://www.canlii.org/en/on/laws/regu/o-reg-94-14/latest/o-reg-94-14.html).

How do I get the court details for the order form?
We need accurate court details so our ACT team can request the right recording. If anything is missing or wrong, the process can stretch out the timeline. It is best if you can fill in every field on the order form. Information will be found in the correspondence the court sent you about the appearance. If you do not have access to this, contact the specific court directly to gather the details.
Ontario court contact details: ontario.ca/locations/courts.
Do I need a certified transcript?
If a transcript will be used in court or filed in an appeal, the filed transcript must be certified by the Authorised Court Transcriptionist who prepared it (Guide to Procedures, Divisional Court Appeals, Part 3, Transcripts).
Is there a requirement to provide a copy of the transcript to the presiding judicial officer?
If you plan to refer in court to what was said in a previous court case, you must provide a certified copy of that transcript to the judicial official hearing your matter.
How long does it take to receive an Ontario court transcript?
Turnaround depends on the length and complexity of the proceeding, the format you need, and how busy the assigned ACT is. Industry standard options are:
- Expedited, within 24 hours of receiving the recording, charged at the higher per page rate.
- Priority, within 5 business days, charged at the mid tier per page rate.
- Standard, the regulated standard rate applies, timeframes are confirmed at order.
If your transcript is required for an appeal, the appellant must perfect the appeal within 60 days after receiving notice that the transcript is ready, so it pays to order early (Guide to Procedures, Divisional Court Appeals).
Who can order an Ontario court transcript?
Any party to a proceeding, their counsel, the media, and members of the public can order a transcript directly from an Authorised Court Transcriptionist. Some matters, for example youth criminal proceedings or sealed files, are subject to access restrictions and may require a court order before a transcript can be released (Ontario Court of Justice, Public Access to Court Recordings).
How to become an ACT court transcriptionist
We are not providing career advice or have any specific knowledge about different training programs or the process of becoming an ACT beyond what we provide here. If you need more information, we suggest contacting the training program directly.
The first step in moving towards an ACT is to complete a certified ACT training program through one of the three recognised training institutes in Ontario.
- Ontario College of Business and Technology, Court Transcriptionist program
- Centennial College, CTRN, 101 Court Transcription
- Durham College, Court Transcription Certificate
After successful completion, you can apply to be added to the official List of Authorised Court Transcriptionists for Ontario. Once listed, you are authorised to request court recordings and produce certified transcripts under O. Reg. 94/14.
